The post holder will provide a comprehensive and efficient administrative and clinic activity service to the Directorate of Anaesthesia Critical Care. This includes, but is not limited to: Coordinating surgery school (SS), this is an informal group seminar aimed at patients requiring elective major surgery. Working closely with the Directorate Manager and Clinical Director, supporting developing Surgery School services at the Oxford Road Site Managing clinic attendance and supporting patients to join virtual Surgery School sessions. Utilising the Hive EPR system to manage, administrate and develop the functionality of surgery school and other pre-operative anaesthetic services Co-ordinating room bookings for face-to-face Surgery School sessions Providing reports of clinic attendance, utilisation and waiting lists for Surgery School Providing administrative support to anaesthesia pre-operative assessments as required. Maintenance of office administration, Identify best practice and develop working practice in the unit/team to deliver an efficient and effective administration service. Prioritise and allocate work resulting from opening and actioning of mail. Monitor and record levels of activity/referrals into the department, utilising relevant IT software. Identify and implement solutions to manage periods of high levels of activity/referrals. Escalate to management team where required. Telephone management of sensitive, confidential nature. Be the first point of call for all patients booked on to the SS clinic. Take minutes and arrange meetings. Close liaison with Consultants, General Practitioners, and other Health Professionals. Maintain diaries. Type correspondence and reports. Transcribe and manage clinical tapes. Liaison with internal departments and external organisations May have some responsibility for supervision of staff on lower grades. Responsibility for own tasks.
